Shared folders in OneDrive let you access and collaborate on files with your team. When set up via Teams, these folders automatically sync to your OneDrive, ensuring everyone in the group can work with the latest documents securely.

 

How Shared Folders Are Set Up

 

Shared folders are created and managed by your Microsoft Administrator to ensure security and correct access.

 

Steps:

  1. TSC Media (as your Microsoft Admin) sets up the Teams site and shared folders.
  2. Each Team is created with the correct members who need access.

Syncing to OneDrive

 

Once the shared folder is set up in Teams, you can sync it to your OneDrive to work with it like any other folder on your computer.

 

Steps:

  1. Open the Document library via the link provided by TSC Media.
  2. If there is request access - please click request access and wait for approval. Once approved, move on to the next step.
  3. Look in the top navigation for the Sync button.
  4. If the button isn’t immediately visible, click the three dots (…) to reveal it.
  5. Click Sync.



  6. If you get a pop up from your browser telling you that that the link will open the OneDrive programme, please check the ‘Always allow’ and select Open OneDrive.

  7. You will get a notification that your files are being synced. Click Close.

Accessing the Folder in OneDrive

 

After syncing, the folder appears in your OneDrive under your company name, making it easy to find and work with offline.

 

Steps:

  1. Open OneDrive on your computer.
  2. Look for a folder labelled with your company name.
  3. All Team Folders and files will appear here.

Who Can Access the Folder

 

Only members of the Team have access to the synced folder, ensuring that company files are kept secure.

 

  1. Make sure you are a member of the relevant Team.
  2. Any files placed in the shared folder are automatically accessible to all team members.

 

Tips & Additional Information

 

  • Changes made to files in the synced folder are updated for everyone in the Team automatically.
  • If a member leaves the Team, their access to the shared folder is removed.
  • Avoid moving or renaming the synced folder in OneDrive, as it may break the link to the Team library.
  • You can work offline. Changes will sync back to Teams automatically when you reconnect.
